The Administrative Assistant will perform a variety of administrative and clerical tasks primarily for our clinical supervisory team, with assistance to other departments within the branch.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, Google Suite and office equipment. They should also have intermediate knowledge of commonly used office equipment including scanning, emailing, faxing and printing documents.
Ultimately, the successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.
Here’s how you’ll make an impact: (including but not limited to)
- Answer and direct phone calls
- Represent the agency as the first point of contact for internal and external clients
- Process, log, & record incoming and outgoing faxes (electronic and physical)
- Handles all mail and shipping activities
- Scan and ship outbound files
- Assist with ordering and manage inventory of office supplies and medical equipment
- Maintains the physician licensure list
- Create and maintain files for field clinicians
- Perform internal document audits
- Scan any paper clinical documents
- Participate in annual audits
- Manage electronic filing and organization online
What qualities and experiences will you bring to our team?
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Demonstrated proficiency with Google Workspace (most notably Drive, Docs, Sheets & Google Meet)
- Knowledge of medical terminology will gain strong preference
- Demonstrated proficiency in MS Office
- Working knowledge of office equipment, such as printers, scanners and fax machines
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Experience as an Administrative Assistant or Secretary in a healthcare setting; Certified Medical Assistant qualification will be strongly considered

Qualities and experiences you will bring to our team?
- Current licensure in the State of Connecticut as a Occupational Therapist
- Minimum of three years of clinical experience
- Minimum of one year in a supervisory role

The Supervisor of Clinical Services directly supervises a team of nurses and carries out supervisory responsibilities in accordance with the agency’s policies and procedures, and applicable laws.
This position has primary authority and responsibility for maintaining the quality of clinical services through planning, organizing, controlling, and evaluating the delivery of home health care services provided by all agency direct care professional personnel.

- Coordinate and manage the delivery of quality patient care by serving as the direct supervisor for a team of nurses.
- Works with scheduling to ensure appropriate patient coverage by qualified professional nurses. Coordinates services with the patient, family, and other involved in the care plan.
- Assures that all plans of care are accurate and timely.
- Provide guidance, support, and oversight to nursing staff regarding case management activities to achieve positive patient outcomes.
- Evaluate clinical competence of assigned nursing staff.
- Acts as a liaison with physicians, community resources, and other referral sources to ensure quality patient service and promote program growth.
- Participates in the development of or revision to agency policies and procedures and standards of care in accordance with state, federal, and ACHC guidelines.
- Participates in direct service staff recruitment, selection, orientation, and in-service education as needed.
- May provide direct care on an as needed basis.
Qualities and experiences you will bring to our team: (one of the following)
- A masters degree from a program approved by the National League for Nursing or the American Public Health Association with a minimum of one year full-time clinical experience; -OR-
- A baccalaureate degree in nursing and a minimum of three years of full-time clinical experience in nursing (at least one of which was in a home health agency or community health program); -OR-
- A diploma or associates degree in Nursing and:
- (1) A minimum of three years full-time or full-time equivalent clinical experience in nursing within the past five years, AND
- (2) evidence of a certification by the American Nurses’ Association as a community health nurse or completion of at least six credits received within two years in community health nursing theory or six credits in health care management from an accredited college or university program or school of nursing.

Description of duties:
As a Home Health Aide (HHA/CNA) you will be responsible for providing personal care and assistance with basic activities and daily living needs of patients.
